Understanding VIDIZMO for SharePoint App

VIDIZMO for SharePoint allows SharePoint users to browse and stream digital content from a VIDIZMO Portal directly within their SharePoint site. The app provides a seamless navigation experience optimized for end-user functions such as media playback, sharing, download, and collaboration.

Concept

The VIDIZMO for SharePoint app is optimized for an end-user experience as a Viewer in the Portal. Contributive and administrative roles should use the VIDIZMO application directly for managerial actions.

SharePoint Domain Registration

The first step to integration is domain registration. You must enlist your SharePoint application URL as a trusted domain in VIDIZMO. This builds a trusted two-way communication channel between the two applications, allowing them to exchange data.

Automated User Registration

When a SharePoint user accesses the VIDIZMO application within SharePoint, their profile information is used to automatically register them in the VIDIZMO Portal. This information includes their First Name, Last Name, Email Address, and SharePoint Groups.

  • Upon login, SharePoint users are added to the VIDIZMO Portal with a Viewer role. This also applies to users that exist in the VIDIZMO account but are not part of the Portal integrated with SharePoint.
  • If a user already exists in the VIDIZMO Portal before they sign in from the SharePoint application, their profile is updated based on the SharePoint application. Federated users are always given priority over Portal users.

Groups Synchronization

Groups from SharePoint are synchronized to VIDIZMO to maintain content segregation and control policies:

  • When a SharePoint user is added to the VIDIZMO Portal upon login, the groups that user belongs to are synchronized and automatically created in the VIDIZMO Portal.
  • A synchronized group may initially have only one or two users in VIDIZMO, but it will always have at least one user.
  • Group synchronization occurs at the start of each session. Changes to your groups are synchronized only after you end your current session (close all browser tabs where you were using SharePoint) and start a new session.

Streamlined User Experience

  • If the app is not configured against a Portal, you are redirected to the configuration page where you can bind it to a Portal.
  • If the app is configured, your VIDIZMO Portal inherits your current SharePoint theme through advanced branding capabilities.
  • In case of a restricted Portal, you are not allowed to view content.
  • In case of a deleted Portal, you are notified that the Portal is no longer available.

Accounts and Portals

  • Every Portal in the SharePoint app has its own Homepage with content for that respective Portal.
  • If the app is configured against the Account in a Portal, you can view the All Portals page and join other child Portals. You can also switch between Portals if:
    • You are a registered member in the Portal, or the Portal visibility is set to anonymous.
    • The SharePoint app is already configured and enabled against that Portal.
  • When using an Account, you can view content from the main account and all sub-Portals (based on security policies). When using a Portal directly, you can only access content belonging to that particular Portal.

App Updates

To update the VIDIZMO app to the latest version:

  1. Go to your Site Contents in SharePoint.
  2. On the installed VIDIZMO app, open the overflow menu and select Details.
  3. On the Details page, you will be notified if a new version is available. Select Get It.
  4. Wait for the installation to complete.

NOTE: App updates are preceded by an update to the App Catalog by either the VIDIZMO IT Support Team or your organization's internal IT Support. Public/Anonymous Access is not available in the VIDIZMO Digital Evidence Management (DEM) product package.

Troubleshooting

  • If the VIDIZMO app is not working, verify that you have activated the SharePoint app toggle in your VIDIZMO Portal under Apps > Content Management System.
